Using SiteTrack

SiteTrack helps users organise project information, site records, rooms, tasks, reminders, contacts, documents, photos, milestones, weather context, Site Access QR details, budget context, and progress information.

Users are responsible for the data they enter, the projects they manage, the people they invite or contact, the permissions they grant, and the decisions they make based on any information in or from the app.

Use of SiteTrack is a limited, personal or internal-business right to access the app for lawful project and site coordination. Users do not receive ownership of the app, source code, design system, brand, documentation, subscription platform, service infrastructure, or underlying technology.

SiteTrack Technologies (Pty) Ltd may update the app, website, support materials, plan limits, feature availability, and these terms from time to time. Features may differ by country, device, app version, platform rules, account status, subscription status, permissions, network access, and third-party provider availability.

No Professional Advice

SiteTrack is not legal, tax, accounting, engineering, construction, safety, compliance, financial, insurance, procurement, or professional advice. SiteTrack does not replace qualified review, professional judgment, site inspection, contract review, engineering review, safety planning, legal advice, tax advice, or compliance obligations.

Users remain responsible for project decisions, budgets, appointments, contractors, suppliers, building work, site access, safety practices, statutory duties, professional review, and compliance with applicable laws and standards.

SiteTrack does not supervise building works, inspect sites, certify work, verify code compliance, approve designs, approve structural work, confirm contractor qualifications, confirm insurance, confirm employment status, confirm licensing, or decide whether a site is safe. Users must obtain appropriate professional advice and follow the law, contracts, permits, safety files, method statements, insurance requirements, and local procedures that apply to their project.

Scout AI

Scout AI includes local app assistance and plan-gated cloud AI where available. Local Scout checks may prepare daily app context, including weather and high-importance project signals, without automatically sending that daily check to OpenAI.

Scout AI is assistance only and may be incomplete, outdated, or incorrect. Users should review outputs carefully and should not treat Scout AI as professional advice, a safety system, a compliance system, or the only source for project decisions.

Users are responsible for the prompts and information they choose to submit to Scout AI and for checking any output before using it. Users should verify important project, weather, safety, finance, legal, and regulatory information from appropriate sources before acting.

Users must not submit passwords, secrets, payment card data, bank credentials, private keys, unnecessary sensitive personal information, unlawful content, confidential information they are not authorised to process, or information that would put another person at risk. Scout AI may rely on user-entered information, loaded app context, weather data, plan access, settings, and third-party provider availability, so incorrect or incomplete inputs can produce incorrect or incomplete responses.

Weather, Risk, and Safety

Weather information, risk labels, work-condition notes, and site-context prompts are contextual planning aids only. They may be based on third-party data, user-entered addresses, device location, cached information, or incomplete project details.

SiteTrack is not a weather warning service, emergency service, safety-management system, engineering control, compliance tool, or substitute for competent site supervision. Users must confirm important conditions through official forecasts, local site checks, qualified professionals, and applicable safety procedures.

Weather data may be delayed, unavailable, inaccurate, incomplete, mapped to the wrong location, affected by provider limits, or unsuitable for a specific site condition. Do not rely on SiteTrack for emergency alerts, severe-weather decisions, working-at-height decisions, excavation decisions, lifting operations, electrical work, temporary works, flood risk, heat stress, wind limits, fire risk, or any other safety-critical decision.

Budgets, Costs, Products, and Finance

Budget, expense, funds, room estimate, transaction, product, shop, and reporting features are for record keeping and coordination. They are not financial, tax, accounting, valuation, procurement, quote, or investment advice.

Prices, product details, estimates, and budget figures may be incomplete, user-entered, out of date, or region-specific. Users should verify costs, supplier terms, taxes, contracts, quantities, professional fees, and payment obligations independently.

SiteTrack does not act as a bank, payment processor, escrow provider, lender, broker, accountant, tax adviser, quantity surveyor, procurement agent, insurer, contractor, or supplier. Users are responsible for receipts, invoices, tax records, payment approvals, cost verification, supplier selection, product suitability, contractual terms, and any financial reporting they need outside the app.

Tasks, Reminders, Calendar, and Local Alerts

Tasks, reminders, milestones, calendar entries, and local task alerts help users coordinate work. They should not be relied on for emergency, safety-critical, legal-deadline, payment-deadline, or compliance-critical notifications.

Local alerts may depend on device permissions, operating-system settings, time settings, battery optimisation, app state, and device availability.

Site Access, QR Codes, Contacts, and Access

Site Access QR and profile features are coordination tools. They do not replace identity checks, site induction, access-control systems, employment checks, background checks, insurance checks, safety files, medical checks, or legal access requirements.

Users are responsible for verifying people, permissions, contact details, emergency details, and site access before relying on them.

QR codes and shared profile details may be copied, photographed, forwarded, or accessed by people outside the intended audience if users share them carelessly. Users should rotate, remove, or restrict access when a person no longer needs the information and should not treat a QR scan as proof of identity, permission, competence, training, employment, insurance, or site authorisation.

Acceptable Use

• Use SiteTrack lawfully and only for legitimate project or site coordination purposes.
• Do not upload unlawful, harmful, misleading, abusive, private, confidential, infringing, or unsafe content unless you have the right and authority to process it.
• Do not use SiteTrack to harass people, evade obligations, misrepresent site status, or make unauthorised decisions for others.
• Do not attempt to access another user's account, data, project, QR code, subscription, or systems.
• Do not bypass security, overload the service, scrape the service, reverse engineer the app, or interfere with SiteTrack or its service providers.
• Do not use SiteTrack for emergency response, safety-critical automation, regulated professional services, or unlawful monitoring.
• Do not upload malware, attempt to introduce harmful code, test security without written permission, interfere with another user, or use automated tools to scrape, harvest, overload, benchmark, or copy the service.
• Do not use SiteTrack to build, train, or improve a competing product or to copy SiteTrack's design, workflows, data model, branding, icon system, documents, or user interface.
• Do not use the SiteTrack name, logos, screenshots, app listings, or website content in a way that implies partnership, endorsement, resale rights, or authority from SiteTrack Technologies (Pty) Ltd unless written permission is given.
• Do not use SiteTrack to collect, store, or share personal information about others unless you have a lawful basis, required notices, and any required consent or authority.

Accounts may be restricted, suspended, or removed if SiteTrack Technologies (Pty) Ltd reasonably believes the app has been misused or that continued access may create risk for users, the service, or third parties.

Subscriptions

SiteTrack may offer Essential, Standard, and Pro paid plans. Standard is the recommended paid plan. Subscriptions may be monthly or annual and are handled through Apple App Store billing via RevenueCat. SiteTrack does not use external checkout for digital subscriptions.

Users can manage or cancel Apple App Store subscriptions through Apple subscription settings. Restore Purchases may be available in the app where relevant to refresh entitlement access.

SiteTrack Technologies (Pty) Ltd uses RevenueCat to help verify subscription entitlements and apply paid access in the app. If Apple or RevenueCat cannot confirm an active entitlement, paid features may be unavailable until the entitlement is restored, renewed, or verified. Deleting the app or deleting a SiteTrack account does not cancel an Apple subscription.

Third-Party Services and Links

SiteTrack may rely on Supabase, RevenueCat, Apple App Store billing, OpenAI for Scout cloud AI where used, Open-Meteo, Google Places if enabled, Expo/EAS, app-store services, device operating systems, and support tools. Third-party services may be changed, interrupted, unavailable, inaccurate, or subject to separate terms.

News, resource, product, map, phone, email, website, or other external links may open third-party services. SiteTrack Technologies (Pty) Ltd is not responsible for third-party content, availability, pricing, advice, security, or policies.

If Google Places or other map/address features are enabled, users must comply with applicable third-party terms, attribution requirements, and restrictions. If Open-Meteo weather data is used, users understand that weather data is provided by a third-party source and should be independently checked for safety-critical or commercially important decisions.

Account Deletion and Data

Account deletion can be requested or initiated through the app where available, or by contacting support@sitetracktechnologies.com. Deleting a SiteTrack account does not automatically cancel an Apple App Store subscription.

Users are responsible for keeping their own records where required for legal, tax, accounting, safety, compliance, insurance, or business purposes.

Users retain responsibility for the accuracy, legality, reliability, classification, retention, backup, export, and use of their project content. SiteTrack Technologies (Pty) Ltd may remove or restrict content or accounts where reasonably needed to operate the service, protect users, enforce these terms, respond to legal obligations, investigate abuse, or address security issues.

Ownership, Content, and Feedback

Users keep the rights they have in their own project content. By entering or uploading content, users allow SiteTrack Technologies (Pty) Ltd and its service providers to host, process, transmit, display, back up, secure, and otherwise use that content as needed to provide and support SiteTrack.

SiteTrack Technologies (Pty) Ltd owns or licenses the SiteTrack app, website, brand, logos, design, icons, text, workflows, software, data structures, templates, and related intellectual property. Feedback, ideas, suggestions, or requests sent to SiteTrack Technologies (Pty) Ltd may be used to improve SiteTrack without payment or obligation, unless a separate written agreement says otherwise.

No ownership rights in SiteTrack are transferred by downloading, subscribing to, accessing, or using the service. Third-party and open-source components remain subject to their own licences, available on the Open-Source Licences page.

Changes, Availability, and Limits

SiteTrack Technologies (Pty) Ltd may update, change, restrict, suspend, or discontinue features from time to time. Features may depend on app version, device support, network access, account status, subscription status, permissions, provider availability, country, and platform rules.

SiteTrack is provided on an as-is and as-available basis to the fullest extent permitted by law. SiteTrack Technologies (Pty) Ltd does not warrant that the app, website, support, data, AI responses, weather context, entitlements, alerts, links, uploads, downloads, reports, or integrations will always be accurate, complete, secure, uninterrupted, timely, error-free, compatible, or available.

Liability Limits

To the fullest extent allowed by applicable law, SiteTrack Technologies (Pty) Ltd is not responsible for indirect, incidental, special, consequential, exemplary, or punitive losses, or for lost profits, lost data, project delay, cost overrun, contractor issues, supplier issues, product choices, safety incidents, professional decisions, business interruption, or reliance on incomplete information arising from use of SiteTrack.

To the fullest extent permitted by law, users agree to defend, indemnify, and hold SiteTrack Technologies (Pty) Ltd harmless from claims, losses, liabilities, damages, costs, and expenses arising from their content, projects, instructions, misuse of SiteTrack, violation of these terms, violation of law, infringement of third-party rights, or decisions made from app information.

Some laws do not allow certain exclusions, indemnities, warranty limits, or liability limits. These terms do not exclude or restrict liability or consumer, privacy, or statutory rights that cannot legally be excluded or restricted. If a country, state, province, or region requires a different rule, that rule applies only to the extent required by applicable law.

Global Use, Sanctions, and Local Law

SiteTrack is intended to be used globally only where lawful. Users are responsible for complying with local laws that apply to their projects, data, profession, workplace, tax records, building work, employment arrangements, safety duties, consumer obligations, privacy notices, export controls, sanctions, and app-store rules.

Users must not use SiteTrack where doing so is prohibited by applicable law, sanctions, export-control rules, court order, employer rules, professional obligations, or platform terms. SiteTrack Technologies (Pty) Ltd may restrict access where reasonably needed to comply with law, protect the service, or reduce risk.
