Overview

SiteTrack is a mobile app for project and site coordination. SiteTrack is operated by SiteTrack Technologies (Pty) Ltd, registration number 2026/361971/07.

This policy explains how SiteTrack Technologies (Pty) Ltd may collect, use, store, and share information when users access SiteTrack, the public website at https://sitetracktechnologies.com/, support, and related services.

Information SiteTrack May Collect

  • Account information such as email address, name, profile details, authentication identifiers, role, preferences, country, language, measurement units, and account status.
  • Project and site information such as project names, addresses, locations, site records, scopes, rooms, milestones, progress information, notes, activity logs, and related metadata.
  • Tasks, reminders, calendar entries, priorities, due dates, weather-sensitive work tags, contacts, workspace information, comments, and coordination records.
  • Budget and finance information users choose to enter, including estimates, room costs, expenses, funds, transactions, budget categories, and related project cost context.
  • Uploaded photos, files, documents, profile images, and file metadata if users upload or capture them in the app.
  • Camera, photo library, and QR scan information when users use project photo, Site Access, or upload features, subject to device permissions.
  • Location, address, geocoding, and weather context if users enter a site address, use location features, or use address/weather tools.
  • Site Access profile details that users choose to save or share, such as display name, access code, availability details, emergency contact information, and safety notes.
  • Subscription and purchase status from Apple App Store billing and RevenueCat, including entitlement status, renewal status, and plan access.
  • Support messages, bug reports, screenshots, and related correspondence sent to SiteTrack Technologies (Pty) Ltd.
  • Scout AI prompts, messages, and relevant app context if users choose to use Scout AI features. Local daily Scout checks may also prepare a compact app summary on the user's device.
  • Basic technical information needed to diagnose app errors, support requests, service issues, device compatibility, and account access problems.

Users choose what project, site, contact, document, photo, safety, emergency, finance, and personal information they enter into SiteTrack. Users should not upload information unless they have the right to store it in the app and, where needed, share it with the people or service providers involved in their project.

SiteTrack does not require users to enter private legal documents, medical records, identity documents, payment card numbers, bank account credentials, tax filings, payroll records, or similar highly sensitive information. If users choose to add sensitive information to notes, documents, photos, Site Access details, or support messages, they are responsible for making sure they have permission and a lawful reason to do so.

How Information Is Used

SiteTrack Technologies (Pty) Ltd uses information to operate SiteTrack, authenticate accounts, store and display project records, sync app data, support subscriptions, restore purchases, provide customer support, diagnose problems, secure the service, and maintain app reliability.

Information may also be used to organise project dashboards, calendars, weather context, task reminders, Site Access features, project health signals, budget context, reports, and app support workflows.

SiteTrack may collect basic technical information needed to diagnose app errors, support requests, and service issues. Dedicated crash/error monitoring may be added in future and will be reflected in this policy when enabled.

The current static website files do not include analytics scripts, advertising pixels, tracking cookies, card-collection flows, or external checkout. Website hosting providers may still process basic technical request information, such as IP address, user agent, timestamps, and requested URLs, to deliver and secure the website.

Scout AI Processing

Scout AI includes local app assistance and, where plan access and settings allow it, server-side cloud AI. Local Scout checks can use loaded SiteTrack information, including weather and high-importance project signals, without automatically sending that daily check to OpenAI.

If a user asks Scout a cloud AI question or uses AI features that require the server-side assistant, SiteTrack may send user-entered prompts, messages, and relevant app context through a server-side Supabase Edge Function. OpenAI may process that information to generate a response.

Scout AI is assistance only. It may be incomplete, outdated, or incorrect and does not provide legal, tax, accounting, engineering, construction, safety, compliance, financial, insurance, or other professional advice.

Users should not send secrets, passwords, payment credentials, unnecessary personal information, confidential third-party information, or information they are not authorised to process in Scout AI prompts. Users are responsible for reviewing AI outputs before using them and for obtaining qualified professional advice where appropriate.

Weather, Address, and Location Services

Open-Meteo may be used for weather and geocoding information. If address autocomplete is enabled, Google Places may be used to help search and complete address information.

Weather and location information is contextual and may depend on the address, coordinates, device, network access, third-party availability, and the underlying provider data. Users should confirm important site conditions through appropriate local sources.

Google Places information, if enabled, may be subject to Google Maps Platform terms, Google privacy terms, attribution requirements, and restrictions on how Places content may be stored or displayed. SiteTrack may store user-entered addresses and related project location information so users can manage their own project records.

Service Providers

SiteTrack may use service providers to operate the app and related services. These may include:

  • Supabase for backend services, database, authentication, storage, and Edge Functions.
  • RevenueCat for subscription status and purchase entitlement management.
  • Apple App Store billing for iOS subscriptions, payments, receipts, renewals, cancellation, and refund processes.
  • OpenAI for Scout cloud AI responses when server-side AI features are used.
  • Open-Meteo for weather and geocoding information.
  • Google Places if address autocomplete is enabled.
  • Expo/EAS for app build, release, and update infrastructure.
  • Email, device, operating-system, app-store, website hosting, and support tools needed to communicate with users and operate the service.

Service providers are used only where they are relevant to the app, website, support, billing, build, release, or infrastructure function involved. SiteTrack Technologies (Pty) Ltd does not publish private keys, database credentials, internal account identifiers, or personal owner details on these public pages.

Subscriptions and Purchases

SiteTrack subscriptions are handled through Apple App Store billing via RevenueCat. Apple handles App Store payment processing, and SiteTrack does not use external checkout for digital subscriptions.

SiteTrack Technologies (Pty) Ltd receives subscription status and entitlement information needed to provide paid access, manage plan limits, and help with support.

Data Sharing and Sale

SiteTrack Technologies (Pty) Ltd does not sell personal information. Information may be shared with service providers where needed to operate the app, provide support, manage subscriptions, process features users choose to use, protect the service, enforce terms, respond to lawful requests, or comply with legal obligations.

Users should avoid uploading information they are not allowed to store, share, or process through SiteTrack.

If users invite collaborators, share Site Access details, export files, send screenshots, forward support emails, or otherwise share project information outside SiteTrack, those recipients may be able to access, copy, store, or further share that information. Users are responsible for choosing appropriate sharing permissions and for removing access when it is no longer needed.

International Use

SiteTrack may be used by users in different countries, and service providers may process or store information in locations outside the user's country. Privacy rights and legal obligations vary by location. Users may contact support for privacy questions or requests.

Depending on where a user lives or works, privacy laws may provide rights to request access, deletion, correction, export, restriction, objection, portability, or opt-out from certain uses of personal information. SiteTrack Technologies (Pty) Ltd will review requests sent to support@sitetracktechnologies.com and respond as reasonably required by applicable law.

Children and Authorised Users

SiteTrack is intended for project and site coordination by users who can lawfully use the app for that purpose. It is not directed to children. If a user is below the age required to use digital services in their country, they should use SiteTrack only with appropriate parent, guardian, school, employer, or organisation permission where allowed by law.

If an organisation, employer, contractor, owner, or project manager provides access to SiteTrack, that organisation or person is responsible for giving required notices, obtaining required permissions, managing authorised users, and deciding what information may be entered for that project.

Retention, Export, and Account Deletion

We keep account and project information while your account is active or as needed to provide the service, comply with legal obligations, resolve disputes, and maintain security. You can contact support@sitetracktechnologies.com to request account deletion, access, or export of your data.

Data exports may be provided in a reasonable electronic format depending on the type of information requested.

Account deletion may be available in the app or through support. Deleting a SiteTrack account does not automatically cancel an Apple App Store subscription; subscription management happens through Apple subscription settings.

Some information may remain for limited periods where needed for security, backups, legal obligations, billing records, dispute handling, abuse prevention, or service integrity.

Security

SiteTrack Technologies (Pty) Ltd uses reasonable technical and organisational measures to protect account and project information. No online service can promise absolute security. Users should keep account credentials secure, use device security features where available, and report suspected account misuse promptly.

Users are responsible for maintaining their own backups or records where required for legal, tax, accounting, safety, insurance, compliance, professional, contractual, or business purposes. Online services, devices, networks, app stores, and third-party providers may suffer outages, loss, corruption, delay, unauthorised access, or other incidents despite reasonable safeguards.

SiteTrack is not legal, tax, accounting, engineering, construction, safety, compliance, financial, insurance, or professional advice. Users remain responsible for project decisions, site safety, statutory duties, professional review, and compliance with applicable laws and standards.
